AI Processing Notice
Version 2.1 · Effective date 25 September 2026
This notice explains what happens when you turn on AI in Alliva. It is what the AI activation screen links to as “AI processing terms”. It adds to the Privacy Policy; it does not replace it.
1. When AI processing starts
Nothing is sent to an AI provider until you tap Continue on the AI activation screen in the app. That screen is separate from accepting the Terms and the Privacy Policy.
2. What leaves your device, and where it goes
| What | Why | To whom, and where |
|---|---|---|
| Your voice recordings | To turn speech into text | OpenAI, processed in the USA |
| The text of your notes and transcripts, with the thread names and recent corrections needed for context | To make tasks, notes and threads | Google Cloud Vertex AI, EU multi-region |
| Short pieces of your content, such as titles and quoted phrases | To compute embeddings for search and for placing cards in threads | Google Cloud Vertex AI, europe-west4 |
| Your questions and the relevant pieces of your material | To answer questions about your own notes, and for summaries | Google Cloud Vertex AI, EU multi-region |
Everything first goes to our own servers in the EU (Netherlands), and from there to these providers. Only speech to text runs outside the EU: OpenAI processes your recordings in the USA, under the EU–US Data Privacy Framework and Standard Contractual Clauses. Everything else stays in the EU. Details are in sections 7, 8 and 9 of the Privacy Policy.
3. What does not happen
- No training. Neither OpenAI nor Google uses your data to train their models, and neither do we.
- No selling, no advertising. Your content is not sold and is not used for ads.
- No other users. Your content and corrections are used only for your own account.
- No silent fallback to another provider if one is down.
OpenAI may keep data for up to 30 days solely for abuse monitoring, and longer only if the law requires it. Google may process data to detect abuse under its service terms. Our own retention periods are in section 10 of the Privacy Policy; voice recordings are deleted 7 days after upload.
4. Sensitive information and your explicit consent
Your notes may include sensitive things — health, mood, family, money, beliefs — about you or about others. We do not ask for them and do not look for them, but they are processed along with the rest of your note.
By tapping Continue, you give explicit consent under Article 9(2)(a) GDPR to the processing of any special-category data in your content, as described here. Please still avoid recording passwords, bank card numbers, identity documents, or health details you would not want stored.
5. Withdrawing consent
You can withdraw your consent at any time. There is no switch for this in the app yet: write to shaplinvova@gmail.com, or delete your account in the app.
When you withdraw, we stop all AI processing of your content, and the AI features — transcription, structuring and chat — can no longer be used. Your stored content stays until you delete it or your account. Processing that already happened is not affected.
6. AI can be wrong
AI output can be inaccurate, incomplete or put in the wrong place. Each task and note shows your original phrase so you can check it. Do not rely on Alliva for medical, legal, financial or crisis decisions. There are no automated decisions with legal or similarly significant effects on you (Article 22 GDPR).
